Executive Assistant

Duluth Benedictine Ministries (DBM), a newly-formed organization of the Benedictine Sisters of St. Scholastica Monastery, is hiring an Executive Assistant to provide assistance to DBM, the DBM Executive Director, and the DBM Director of Mission Integration/Formation. Position Description

The role of the Executive Assistant is to provide administrative support to Duluth Benedictine Ministries (DBM) and Duluth Benedictine Corporation (DBC). This position reports to the Executive Director of DBM and supports the Executive Director and the Director of Mission Integration and Formation in the work of carrying out the mission of the Duluth Benedictine Ministries.

Essential Functions:

  • Provides administrative support to the Executive Director, Director of Mission Integration and Formation, and Chairperson of the Governing Body.
  • Serves as the recording secretary and coordinator for DBM meetings; organizes governing body meetings, retreats and events on behalf of the governing body; manages the meeting schedule and locations; drafts agendas and meeting materials; prepares and distributes meeting packets; sends meeting notifications; maintains attendance lists and correspondence.
  • Researches and compiles a variety of informational materials from sources both inside and outside the office; summarizes such information as directed.
  • Compiles and distributes materials for various formation programs and events.
  • Coordinates sponsorship formation programs and meetings.
  • Composes drafts and a wide variety of finished documents from notes, brief instructions, or prior materials.
  • Filing and archiving hard copy and electronic materials.
  • Attends to a wide variety of office administrative details, such as travel, meeting and conference arrangements, and equipment purchase and repair.
  • Performs updates to the website as required.
  • Other duties as assigned.

Minimum Qualifications:

  • Education in communications, business management or associated fields or prior extensive executive experience. Bachelor’s degree preferred.
  • Five years of administrative experience.
  • Knowledge of standard office practices and procedures, business math, record keeping principles and practices.
  • Knowledge of and ability to use computers and related software for communication and work-related tasks and responsibilities such as the Microsoft Office Suite.
  • Use of specified computer applications involving data processing, records maintenance, word processing and/or standard report generation.
  • Ability to express thoughts clearly both written and orally.
  • Knowledge of business letter writing and standard formats for typed materials.
  • Ability to operate common office equipment and audio/visual technology.
  • Skill in organizing work, setting priorities, meeting critical deadlines and following up on assignments with minimal direction.
  • Ability to develop professional presentations.
  • Ability to establish and maintain effective working relationships with individuals from diverse backgrounds.
  • Commitment to confidentiality.
